Trust & Safety

Our Verification Policy

What "Verified" means on AgileSoko, how we check it, who may be verified, and what keeps that verification status valid over time.

Last Updated: August 2026

AgileSoko relies heavily on trust because the platform is built around high-value businesses, assets, professional services and transactions. This Verification Policy explains how we review the people, businesses, assets and professionals participating on the platform, what our verification status represents, and how we monitor and enforce standards over time. It should be read alongside our Terms & Conditions.

1 Purpose of Verification

AgileSoko relies heavily on trust because the platform is designed around high-value businesses, assets, professional services and transactions. Verification is therefore a core requirement of the AgileSoko network, not an optional add-on.

Our objective is to reduce fraud, misrepresentation, duplicate accounts, fake listings, identity fraud and unreliable counterparties by verifying the people, businesses, assets and professionals participating on the platform. Depending on the category, this may involve business registration checks, identity verification, official government and registry searches, document verification, professional credential verification, ownership verification, physical or site verification, survey verification, legal due diligence and other category-specific checks.

AI may assist with screening, document organization, information extraction and risk flagging. AI does not make the final verification decision. Final decisions are made by authorized human AgileSoko verification personnel, with independent qualified professionals involved where specialist expertise is required.

2 Who Must Be Verified

Verification applies according to the nature and risk of the participant, asset, service or transaction. AgileSoko verifies four broad groups, each through a process suited to what they're bringing to the platform:

Businesses

  • Companies
  • Partnerships
  • Sole proprietorships
  • Cooperatives & NGOs
  • Institutions, suppliers, agencies, dealers, contractors

Individual Asset Owners

  • Land
  • Buildings, apartments, commercial property
  • Vehicles
  • Aircraft, helicopters, yachts
  • Machinery and other high-value assets

Professional Service Providers

  • Advocates, surveyors, accountants
  • Engineers, valuers, inspectors
  • Architects and other consultants

Customers & Transaction Participants

  • KYC may be required for customers and other transaction participants where AgileSoko's risk controls or the nature of the transaction requires it, particularly for qualifying high-value or escrow transactions.

There is no tier of the marketplace where unverified businesses, assets or professionals are shown by default to visitors.

3 Verification Levels & Categories

Not every participant needs the same depth of review. AgileSoko applies a verification level based on category, value and risk:

Level 1

Standard Verification

Basic documentary, identity, registration and contact verification.

Level 2

Enhanced Verification

Standard verification plus tax compliance, professional credentials, sector-specific licences, official registry checks and additional supporting documentation.

Level 3

Physical / Enhanced Verification

Enhanced verification plus physical, site, office or asset inspection where required.

Level 4

Transaction / Professional Due Diligence

Additional verification performed or coordinated by qualified professionals where the nature or value of the transaction requires it → for example legal due diligence, survey verification, independent valuation, financial due diligence, engineering inspection or other specialist assessment.

The applicable verification level is determined by AgileSoko based on risk and transaction requirements. Not every business, asset owner or professional receives the same level of verification.

4 Documents & Evidence We Review

Depending on category, verification level and who is applying, our team may request:

Business Registration

Certificate of Incorporation, Business Registration Certificate, CR1, CR2, CR8, CR12, other company records

Tax & Compliance

KRA PIN certificate, Tax Compliance Certificate, business permit, sector-specific compliance documentation

Licences & Professional Credentials

Professional licences, practising certificates, regulatory registrations, certifications and qualifications

Property Documents

Title documents, lease agreements, ownership documents, official land searches, survey documentation

Vehicle Documents

Logbook, ownership documentation, importation documentation and other relevant records

Business / Operational Evidence

Directors' information, company profile, product catalogues, service information, proof of operations, portfolio, references

Additional documentation may be requested depending on the verification findings, transaction value, sector or regulatory requirements. Documents submitted for verification are not publicly displayed and are accessible only to authorized personnel and systems that require them for legitimate verification, compliance, security or transaction purposes. See our Privacy Policy for full detail on document handling and retention.

Verification timelines vary depending on category, documentation, physical verification and third-party checks. Applications requiring only standard verification are generally reviewed faster than those requiring official registry searches, physical verification, or an independent professional.

6 Business & KYB Verification

Know Your Business (KYB) verification is mandatory for every business joining the AgileSoko verified network. Applicable registration, tax, licensing and supporting documents are reviewed before a business can publish a listing.

BRS Verification

Where applicable, AgileSoko will conduct a search through the Business Registration Service (BRS) to independently verify relevant business information, which may include the registered business name, registration status, company particulars, directors/officers where relevant, and other applicable corporate information.

Uploading a registration certificate alone does not automatically qualify a business for verification. AgileSoko may compare submitted documents against official records.

Business Management Dashboard

Once approved, verified businesses receive access to their Business Management Dashboard. AgileSoko builds a structured capability profile for the business, not merely a listing → covering products, services, assets, locations served, availability, capacity, pricing or quotation requirements, operating hours, requirements, policies, specializations and performance information where available.

This structured information allows AgileSoko's AI to understand what a business can actually provide, and whether it fits a customer's requirement, before anyone is contacted.

7 Individual Owners & Asset Verification

Individual owners of high-value assets, land, buildings, apartments, commercial property, helicopters, yachts, vehicles and other high-value assets, may be verified separately from businesses.

Individual asset owners do not necessarily receive a Business Management Dashboard. AgileSoko may instead create and manage their listing after strict verification.

Individual Ownership Verification

Land & Property

For applicable property transactions, AgileSoko may conduct or coordinate several distinct layers of verification:

Official Land Verification

Through Ardhisasa / the relevant Land Registry, including applicable searches concerning ownership and registered interests.

Survey Verification

Where required, an official survey search may be used to examine survey information, boundaries, parcel information and related records.

Physical Verification

AgileSoko may conduct or coordinate a site visit to confirm the property exists and observable characteristics correspond with the listing.

Legal Verification

Where enhanced legal due diligence is required, an independent qualified advocate may review the relevant property and transaction documentation.

An Ardhisasa or Land Registry search does not, by itself, make a property "fully verified." Official registry verification, physical verification and independent legal due diligence are separate layers, each with its own limits.

8 Professional Service Provider Verification

Professionals operating individually rather than through a registered business can participate on AgileSoko, but must still pass appropriate professional verification.

Identity

Government-issued identity and contact verification.

Qualifications

Academic and professional qualifications, certifications, training and specializations.

Professional Registration

Where regulated, AgileSoko may verify registration with the relevant professional or regulatory body.

Practising Status

Where applicable: practising certificates, current licences, active professional status, regulatory authorization.

Professional Standing

Where relevant and reasonably available: suspensions, restrictions, disciplinary matters, regulatory limitations or other material status issues.

Experience & Capability

Professional profile, years of experience, areas of specialization, portfolio, references, geographic coverage and availability.

Additional verification may be required for higher-risk professional categories.

9 Physical & Site Verification

Physical verification may be required for selected categories and high-value assets, including property, land, buildings, apartments, commercial and manufacturing facilities, vehicles, machinery, construction projects, business premises and other physical assets.

Physical verification may be performed by AgileSoko personnel, authorized field representatives, or qualified independent professionals. A physical/site verification fee may apply → see Section 18.

Physical verification confirms relevant observable physical information. It does not, by itself, constitute legal confirmation of ownership.

10 Enhanced Professional Due Diligence

Need additional professional due diligence? Hire a verified advocate, surveyor, valuer, accountant, engineer, inspector, or other qualified professional through AgileSoko.

This may apply to property transactions, business acquisitions, construction projects, investment opportunities, engineering projects, large procurement engagements, and other high-value or complex transactions.

Independent professionals remain responsible for their own professional services and obligations. AgileSoko facilitates access to the professional but does not replace the professional's independent judgment, and is not itself a law firm, survey firm, valuation firm, accounting firm, or engineering firm.

11 KYC & Transaction Verification

Know Your Customer (KYC) verification applies where required by the nature of the transaction or AgileSoko's risk controls. KYC may apply to individual asset owners, buyers, sellers, other transaction participants, escrow participants, and other customers involved in qualifying high-value transactions. Additional information may be required depending on the transaction.

Where AgileSoko escrow functionality applies, KYC is mandatory for relevant transaction participants, and additional transaction verification may be required before funds can be accepted or released.

12 Secure Escrow & Transaction Protection Planned / Future Functionality

Not currently operational

AgileSoko is designed to support secure escrow-style transaction protection for qualifying transactions in the future → potentially including high-value asset transactions, property transactions, business transactions and other high-value services. Where operational and legally established, escrow may help protect transaction funds by holding them subject to agreed transaction conditions and release requirements.

This functionality is not live today. Customers should not assume escrow protection is currently available for any transaction conducted through AgileSoko.

Escrow does not guarantee successful completion and does not eliminate all transaction risk.

13 What "Verified" Does & Doesn't Mean

Verified means: the participant or listing passed the applicable AgileSoko verification process at the time of approval. Depending on the category, relevant registration, identity, credentials, ownership information, official records, documents, physical information or professional information may have been checked according to the applicable verification level.

Verified does not mean: a guarantee, warranty, or blanket endorsement. It does not guarantee future business performance, financial stability, service quality, investment returns, successful transaction completion, the absence of every possible legal or commercial risk, the accuracy of every statement made after verification, or the professional advice or work of an independently engaged professional.

Verification reduces risk. It does not eliminate risk. Buyers, tenants, investors, and clients should still exercise their own judgment and due diligence before entering into any transaction with a verified participant.

14 Ongoing Monitoring & Re-verification

Verification isn't a one-time event. We monitor verified participants on an ongoing, risk-based basis through:

Reverification may be triggered by a change in ownership or directors, expired documents or licences, a change in professional status, material changes to an asset, significant listing changes, new risk information, customer complaints, a significant transaction, or other circumstances requiring renewed verification.

15 Suspension & Revocation

AgileSoko may suspend, restrict or permanently revoke verification status or listings, with or without prior notice, on grounds including:

False or forged documentation, or material misrepresentation
Fraudulent activity, identity discrepancies, or ownership discrepancies
Expired or invalid credentials, or loss of required licensing/registration
Confirmed scam activity or non-delivery of paid goods/services
Repeated credible reports filed through our Report a Business process
Misuse of the verification badge, or materially misleading listings
Failure to complete requested reverification
Violation of AgileSoko's Terms & Conditions

16 Reporting a Concern

If you believe a verified participant is misrepresenting themselves, misusing their badge, or engaging in fraudulent, misleading or unprofessional conduct, please tell us. Every report is reviewed by a human member of the appropriate AgileSoko team.

17 Appeals

A participant whose application is declined, or whose verified status is suspended or revoked, may request a review by contacting our verification team with supporting evidence addressing the stated grounds. Appeals are considered case by case; submitting an appeal does not guarantee reinstatement.

18 Verification Fees

Verification may involve costs depending on category and verification level. Fees are disclosed before the relevant service is initiated.

Business Verification

A one-time business verification fee may apply.

Individual Asset Owners

A one-time document verification fee may apply.

Physical Verification

A separate physical/site verification fee may apply where required.

Third-Party / Official Costs

Customers or participants may be responsible for applicable government search fees, registry fees, professional fees, survey fees, valuation fees, inspection fees, legal fees and other third-party charges.

19 Policy Updates

We may update this Verification Policy as our review process, categories, or regulatory requirements evolve → including as new categories are introduced, government systems evolve, regulations change, escrow functionality expands, new fraud risks emerge, or verification capabilities improve. Material changes will be noted on this page. Continued use of AgileSoko after changes are posted constitutes acceptance of the updated policy.
